Data importing

What are all import options for clients and candidates?

This article will show what are all import options available and use of each option.

1. Select More.

2. Select Global Settings.

Example is for candidates, you can also select clients

3. Select Candidate to import candidate data or select Clients to import client data.

4. Select Import Button.

5. Select a CSV file and select Open - You can find more details here

6. You will see following options at beginning of import screen,

  • Delete Existing Users - It will delete all the records with the email exist in this file from system.

    • Select this option to delete exiting candidate
    • Map the email field with Enginehire profile email field 
    • Scroll down and click the button "Import"
  • Update Existing Users - It will update all the records with the email and mapped fields exist in this file from system.
    • Map the email field with Enginehire profile email field 
    • Now, map all the fields required to update, here we want to update address, city, zip.
    • You can map any fields exist in profile those you want to update.
    • Scroll down and click the button "Import"
  • Overwrite Existing User - It will delete all the records with the email and reimport them with all mapped fields exist in this file from system.
    • Map the email field with Enginehire profile email field 
    • Now, map all the fields required to overwrite, You can map any fields exist in profile those you want to overwrite/update.
    • Scroll down and click the button "Import"
  • Set a Status to all imported users - This will set a record status with selected status for the all  records from the file.
    • In this case we want to set the status to "Applied" - select this status from dropdown

    • Map the email field with Enginehire profile email field 
    • Now, map all the fields those you want to import like first name, last name, phone, etc 
    • Scroll down and click the button "Import"
  • Partial Import - This is useful when you want to try a import on only few entries from entire file, to make sure the import is mapped correctly. Example - if a file have 250 records you can partially import only 10 records to see how the import goes. 
    • Select the number of rows / records you want to import partially, 
    • Now, map all the fields those you want to import like first name, last name, phone, etc 
    • Scroll down and click the button "Import"
  • Generate system generated placeholder email address - If the file don't have emails and you want to import them. The email is mandatory field to import the data and thus this option will generate emails for each records from the file. 

    • Now, map all the fields those you want to import like first name, last name, phone, etc 
    • Scroll down and click the button "Import"
  • Upload Import Fields - If you have multiple similar files you can import the already mapped fields using the downloaded json file from first time import or if you want to tract the mapped field, this option will be helpful to import the downloaded mapped field in json file format.

    • Make sure to download the mapping json file before importing first round of import. 
    • You will find the button "Download Import Fields" at the end of screen in same row where there is a button for import
    • Once you click on "Download Import Fields" it will download a json file will all mapped fields 
    • This downloaded json file needs to be selected when you want to import similar file through button "Upload Import Fields" to automatically map the existing fields from the last round of import. Make sure the columns in the current import file should have same sequence and headers.
