Choose Which Candidate Statuses Get Expiring Document Notifications

Enginehire can remind candidates when their documents are about to expire, so licenses, certifications, and background checks get renewed before they lapse. Out of the box, that check runs across every candidate in your agency. If you would rather keep the reminders focused — active candidates but not applicants, say, or working candidates but not archived ones — you can limit the check to the statuses you choose.

Choose the statuses to check

1. From the top navigation, select More.
   
2. Under Settings, select Global Settings. 
   
3. Select the Candidates tab.
   
4. Scroll down and expand Documents. It sits below Registration Fee Settings, near the bottom of the tab.
   
5. Find Statuses to check expiring documents and start typing in the field to filter your status list, then select each status you want included. You can add as many as you need. Leaving the field empty checks expiring documents for every status, and Clear underneath resets your selection.
   

Settings that decide whether the reminder actually sends

Choosing statuses tells Enginehire who to check. A few neighbouring fields in the same Documents section decide whether anything goes out, so it is worth a look while you are here.

The field that sets how many days ahead to warn has to be filled in. If you leave it blank, no push notification goes out when a document is expiring, no matter which statuses you picked. You can enter several intervals separated by commas — 2, 10, 30 gives a candidate a month's warning, a nudge at ten days, and a final reminder two days out.

Just above it, Notify only admins when a document is expiring (candidates will not be notified) does exactly what it says. If that box is ticked, your status selection still controls which candidates get checked, but the reminders land with your admins instead of the candidates themselves. Directly under the statuses field, Types of candidates to check expiring documents works the same way for candidate types and is also blank by default, meaning all types are checked.
