How to Include Additional Shift Dates in Email Notifications

Learn which tag to use so candidates see every date of a shift job in a single email.

When a shift job has more than one date, whether because additional dates were added while the job was created or because the job came from an integration such as Bright Horizons, you usually want candidates to see all of those dates in one email. Enginehire has two tags that can display related dates, and they behave differently. Picking the wrong one is the most common reason candidates receive several emails for what is really one request. This article explains what each tag does, when to use it, and how to add it to your email template.

Which tag should I use for multi-day shift job notifications?

For auto broadcast notifications that go out for several jobs at once, use [[jobdatestimes]]. It consolidates every related date and time into one email.

Use [[associated_shift_jobs]] only when the email is about one specific shift job and you want that email to list the other jobs linked to it. It is not the right choice for broadcasts.

How the [[jobdatestimes]] tag works

[[jobdatestimes]] displays the dates and times of all the related jobs in a notification. It does not matter how those jobs were created. When you select several shift jobs and broadcast them together, this tag pulls the dates from every job in the selection into a single list. Because it is a plural tag, Enginehire sends one consolidated email rather than one email per job.

This is the tag to reach for whenever a candidate should see the full schedule in one place.

How the [[associated_shift_jobs]] tag works

[[associated_shift_jobs]] displays the other shift jobs that are associated with the job the email is about. Associations are created when you add additional dates while creating a shift job; each additional date becomes its own job, linked back to the others.

The important detail is that this tag is evaluated separately for each job. For the job on the first date, it lists the second and third dates. For the job on the second date, it lists the first and third. Each job produces a different result.

In a broadcast template that covers several jobs, Enginehire renders the template once per job. A candidate would receive one email for each date, and the list of "other dates" would be different in every one. That is why [[associated_shift_jobs]] should not be used in broadcast notifications for multi-day requests.

Example: Bright Horizons jobs with multiple sessions

A Bright Horizons request can include several sessions, and each session becomes its own job in Enginehire. A Bright Horizons request with three sessions is three Enginehire jobs.

If your broadcast template uses [[associated_shift_jobs]], candidates receive three emails, one per session, each listing the other two. If your template uses [[jobdatestimes]], candidates receive one email listing all three sessions. For Bright Horizons jobs, use [[jobdatestimes]].

How to add the tag to your email template

Go to More → Email Templates.

Find the template used by your auto broadcast notification and click the pencil icon to edit it.

Place [[jobdatestimes]] where you want the schedule to appear and save the template. You can see all available tags in the tag list inside the editor.

If your notifications for multi-day jobs are still arriving as separate emails after this change, check the template for any remaining single-job tags such as [[associated_shift_jobs]] and replace them.
