Set Up the AgingCare Integration

Set up the AgingCare integration to automatically retrieve new referrals and create client profiles in EngineHire. Configure the AgingCare account, create the required client builders, schedule the scraper, and map AgingCare information to the appropriate client profile fields. Once configured, EngineHire can regularly retrieve new AgingCare referrals and add them as clients, allowing you to manage the referral information directly from the client profile and apply additional automations based on the client's status.

Create an AgingCare Account 

Create an AgingCare account in Enginehire to connect your AgingCare credentials and configure how new referrals are added as clients. 
 
Step 1: On your agent dashboard, click More > Global Settings as shown in the screenshot below.

Step 2: Scroll tabs to the left and click the Backup Care Assistant tab.

Step 3: Click the Accounts option to expand it.

Step 4: Enter a name for the account.

Step 5: Select AgingCare as the Type.

Step 6: Select AgingCare in the Select the type when creating a new client from AgingCare field. 

This is important because it determines the type assigned to a client when Enginehire creates their profile from a scraped referral

Step 7: Scroll down to the bottom, and click the Submit button to proceed.

Step 8: The account will be created successfully.

Schedule the Scraper 

Schedule the scraper to regularly check for new referrals and create client profiles using the profile builder you will select. 
 
Step 1: On your agent dashboard, click the Shift Job Calendar in the top navigation bar.

Step 2: Click the icon as shown in the screenshot below to open the Search and Filter tools.

Step 3: Click the Select Backup Care Assistant Accounts box to open the dropdown list.

Step 4: Select the AgingCare account you created.

Step 5: Select the builder that you want to use to create the client profiles from AgingCare referrals. 

The selected builder determines where the information scraped from AgingCare is stored in the newly created client profile. To learn how to create the required builders, refer to the Create the AgingCare Builders section below.

Step 6: Click the Arrow icon next to the Run Backup Care Assistant button.

Step 7: Enter the number of hours between each scraper run in the Select Number of Hours to run Backup Care Assistant field. 
 

This field uses hours as the interval. For example, entering 0.05 means the scraper runs every 0.05 hours, which is 3 minutes. Enter a higher value to run the scraper less frequently.

Step 8: Select the Send Now option in the Specify the time for first scheduled task field. Then, click the Submit button.
 

For demonstration purposes, we selected Send Now. You can select another available option as needed.

Create the AgingCare Builders

Create the required Section, Application, and Profile builders to define where the information retrieved from AgingCare referrals will be stored in the client profile. 
 

AgingCare Client Section

Create a section with the fields needed to store the information retrieved from AgingCare referrals.  
 
Step 1: On your agent dashboard, click More > Application & Profile Builder as shown in the screenshot below.

: Under the Basic Setup option, enter a name for your builder, select Section as the Builder Type, Client as the User Type, and General as the section type
 

We have already created this section for demonstration purposes.

Step 4: Now you need to add the fields in the section, to add the same click the Add Field button.

Step 5: Enter the Field Label and the Profile Label.

Step 6: Select Textbox as the Field Type

The model will be automatically selected for the field when you select Textbox as the Field Type.

Below are the field(s) you need to add in this section.
 
Select Textbox as the Field Type for all the fields you add, except for the following fields:
  • Main Contact Name: Select name as the Model.
  • Main Contact Email Address: Select email as the Model.
  • Main Contact Phone Number: Select phone as the Model.

Step 7: After adding all the fields as above, click the Save button.

AgingCare Client Application

Create an application builder and add the AgingCare client section to define the application structure used for the client profile. 
 
Create a new application builder by entering a name, selecting Application as the Builder Type, and selecting Client as the User Type

Add the Field Label and Profile Label, select Section as the Field Type, and select the section you created above in the Section Builder option.

Click the Save button.

AgingCare Client Profile 

Create a profile builder and add the AgingCare client section so the information retrieved from AgingCare can be stored in the client profile. 
 
Create a new profile builder by entering a name, selecting Profile as the Builder Type, selecting Client as the User Type, and selecting the application builder you created previously.

Add the Field Label and Profile Label, select Section as the Field Type, and select the section you created above in the Section Builder option.

Click the Save button.

Map AgingCare Fields to Client Profile Fields

Map each field retrieved from AgingCare to the corresponding field in the AgingCare client profile builder so the scraped referral information is stored in the correct location. 
 
Step 1: Follow the same steps 1-2 in the Create an AgingCare Account section.
 
Step 2: Click the AgingCare option to expand and view its details.

Step 3: Click the + button to add a new mapping.

Step 4: Select the AgingCare field that you want to map after the referral is scraped.

Email Automation for AgingCare Referrals

Use a status-change email notification to automatically contact new clients created from AgingCare referrals. 
 
Step 1: Log in to your agent dashboard, and click More > Email Templates as shown in the screenshot below.

Step 5: Select the Client option from the dropdown list in the Type field.

SMS Automation for AgingCare Referrals

Use a status-change SMS notification to automatically send a message to clients created from AgingCare referrals. 
 
Step 1: On your agent dashboard, click More > SMS Templates as shown in the screenshot below.

Step 2: Click the Add Template button.

Step 3: Enter a name for the SMS template.

Step 4: Select Client as the Type, Status Change Notification as the Trigger, AgingCare in the Categories field, and Pre Application as the Status
 

For demonstration purposes, we have selected the Pre Application status.

Step 5: Enter the message you want to send to the client. 
 
You can also use tags in the message to dynamically insert information into your SMS, eliminating the need to type it manually each time. Click a tag to copy it, then paste it into the message as needed.
