Send Automated Emails for Candidate Status Changes

Create a Status Change Notification email template to automatically send an email when a candidate enters a selected status, such as Application Started. You can also add the required status to the candidate statuses if it is not already available as a trigger option.

For demonstration purposes, this article uses Candidates as an example. You can also follow the same steps for Clients

Let’s get started 🚀

Create the Email Template

Create a Status Change Notification email template and select the candidate status that should trigger the email. 

Step 1: Log in to your agent dashboard and click More > Email Templates, as shown in the screenshot below.

Step 2: Click the Add Template button.

Step 3: Enter a name for your email template.

Step 4: Add Internal Notes for your template if needed. 

To learn more about the internal notes in the email template, refer to the Add Internal Notes to Email Templates article.

Step 5: Select Candidate option from the drop down list in the Type field.

Step 6: Select Status Change Notification option as the Trigger.

Step 7: Select the status that you want to use as the email trigger. 

If the required status used in your candidate workflow is not available, add it to the candidate statuses by following the steps in the Add the Candidate Status section below.

Step 8: Click the Content button to jump to the email template subject and body.

Step 9: Enter the Subject and Body of the email template.

Step 10: Click the Create button to proceed.

The email template will be created successfully.

Add the Candidate Status 

If the status you want to use as the email trigger is not available, add it to the candidate statuses before selecting it in the email template. 

Step 1: On your agent dashboard, click More > Global Settings, as shown in the screenshot below.

Step 2: Click the Candidate Statuses Settings option to expand its details.

Step 3: Click the “+” button.

Step 4: Add the status you want to use as the email trigger.

The settings will be saved automatically.
